Permission to advertise
Before you can advertise a job you need to have obtained the appropriate permission to recruit through the vacancy control process (see separate section on this). The outcome of the vacancy control request will determine how you are authorised to advertise i.e. internal or external. If you need advice on the vacancy control process please speak to your Resourcing Manager.
Interview Date
Once you have the appropriate approval you should decide on the interview (or test/assessment) date for internal or external candidates as this would be included on the advert, however if unsure of the date you may state 'TBC' instead. This will usually be an estimate initially, given that you will not know how many applicants you will need to consider. More detail on this is included in the Recruit System Manager Guidance. Posts are normally advertised for a minimum of 2 weeks with a closing date of a Sunday. It is useful for candidates to know from the start when the interview will be and helps things to run smoothly and quickly once the process is underway.
Even though the interview date is given in the advert, it is good practice, wherever possible, to give the shortlisted candidates 7 days’ notice of the interview date.
At this stage you should also decide who will be on the interview panel, check their availability for both shortlisting and interviewing and book any rooms which are required for the selection process.
Job Bulletin
In addition to being advertised on the Council’s jobs website the post will also appear on the Weekly Jobs Bulletin. All posts live on the website by the end of Friday each week will appear on the Weekly Job Bulletin created and distributed the following Monday.

Information needed before you can advertise a post
Before you can advertise a job the information that you will need includes
- Position number – you cannot set up a job to be advertised in the Recruit system without the correct position number. To view your establishment and find positions numbers you can run a Staff and Positions combined report available on the Fiori dashboard.
- Click on SAP Fiori icon on your desktop.
- Click on 'HR Manager Reporting Dashboard'.
- Managers see the Team 'Story' Dashboard.
- Click on other HR Manager reports.

The details held against the position number on SAP will auto-populate a lot of the information required to set up an advert so make sure the details are correct, and you make any approved changes before starting the advertising process. You will only be able to advertise a post that is within your area of responsibility. If you cannot import the position number into Recruit, this means the position number does not sit within your organisational structure. If this happens please contact a member of your Recruitment team.
