New colleague induction for those with line management responsibilities

The following induction checklist relates to new colleagues with line management responsibilities.

Week 1

Learning required

Building and logistics

  • Knowing where to park your car or bicycle and having the appropriate permit
  • Knowing where the toilets, kitchens and other facilities are located
  • Understanding building access requirements including the entrance, exit, door codes, fire exits, fire notices, fire doors and evacuation routes for disabled people.
  • Having your ID badge
  • Knowing how to drive on council business (if appropriate)

Team and planning

  • Knowing which department, service and team you work within
  • Introducing yourself to your team members and booking regular one-to-ones and a regular team meeting
  • Knowing who your key contacts are and introducing yourself to them
  • Having a regular induction meeting booked with your manager
  • Awareness of the council plan, how council decisions are made and employee values 

Digital

Data security and confidentiality

  • Knowing how to use your digital equipment appropriately (if applicable)
  • Knowing to use Halo if something goes wrong with your equipment
  • Knowing how to keep information safe by handling personal data sensitively, keeping your desk secure (if applicable), and maintaining confidentiality
  • Awareness of the Data Demon campaign

HR

Health and safety

  • Understanding it’s your responsibility to work safely and report concerns
  • Understanding of specific health and safety requirements in the role, potential workplace hazards and that any specific health and safety related equipment needs appropriate training before use
  • If there is a red health and safety box, knowing where it is
  • Completing display screen equipment assessments and knowing about the eye care scheme (if applicable)
  • Receiving appropriate personal protective equipment for the role
  • Understanding that violence against any employee in the course of their employment is both legally and morally unacceptable and we will treat seriously, any incident that is reported. We encourage all employees to report any incident where personal safety is at risk. 

First one-to-one meeting topics

During the first one to one meeting the following topics should be discussed:

  • How you're feeling and how your manager can support you during your induction
  • The plan for the first few weeks in the role and goals during the induction period
  • Regular one-to-one scheduling
  • The probationary period and what this means
  • Health and safety responsibilities
  • How the team, cover and travel arrangements work
  • Code of conduct
  • Any other questions

  • How to access one-to-one notes
  • Any other questions

Development

  • Awareness of apprenticeships we offer and how these could support your development and team development
  • Awareness of the Team Building Toolkit and actively use this within my regular team meetings
  • Starting to draft your SMART goals, thinking about your development, and how you’ll demonstrate the right behaviours. Recording these in the PDR app (for grade 14+) or saving them in HR files (everyone else)
  • Scheduling your team’s Performance Development Review meetings in line with the Performance Development Review Cycle

Additional leader learning

Third one to one meeting topics

During the third one to one meeting the following topics should be discussed:

  • How you're feeling and how your manager can support you during the induction
  • Progress made on your induction goals
  • Your porbation period progress
  • Scheduling and preparing for your first PDR goal-setting meeting
  • Discussing progress towards additional role specific mandatory learning
  • Any other questions

Development

  • Attending your goal-setting PDR meeting with your manager, and now having clear SMART goals, a development plan, and understanding of how behaviours and feedback support delivery, recording the notes in the PDR app (Grade 14+) or saved them in HR files (everyone else).

Activities

  • Completing any additional mandatory learning required 
  • Attending your goal-setting PDR meeting with your manager, and having clear SMART goals, a development plan, and understanding of how behaviours and feedback support delivery. 
  • Recording the notes in the PDR app (Grade 14+) or saved them in HR files (everyone else).

Fourth one to one induction meeting topics 

During the fourth one-to-one meeting the following topics should be discussed:

  • How you're feeling and how your manager can support you during the induction 
  • Your progress on induction goals
  • Your probation period progress 
  • Your progress towards additional role specific mandatory learning
  • Scheduling regular one-to-ones to make sure manager and colleagues keep in regular contact throughout the induction and probationary period, and into the future
  • Reflections on the first PDR goal-setting meeting, and scheduling future PDR meetings in line with the PDR cycle
  • Any other questions

Months four to six

Learning required

Activities

  • Having a regular one-to-one with your manager
  • Having regular one-to-ones with your team and storing one-to-one notes in their HR files
  • Scheduling regular PDR meetings with team members throughout the year in line with the PDR cycle
  • Registering for a cohort on inspiring leaders and have completed the required pre-learning and actively prioritising attendance
  • Helping to achieve your personal development plan created within inspiring leaders and supporting your future development - knowing that you can access the Leadereship Learning and Colleague Development zones and promoting these within your team and areas of work
